Regarding the Registration and Curation of Scholarly Publications and Citation Metrics on Google Scholar

 
With the strategic objective of standardizing the institutional scientific database and amplifying the global visibility, accessibility, and dissemination of research outputs generated by the academic community at Ho Chi Minh City University of Economics and Finance (KeoWC2026), the University management hereby notifies all esteemed faculty members, lecturers, and staff regarding the mandatory creation of personal Google Scholar profiles and the systematic update of publication and citation metrics within the University's centralized repository. The technical and administrative directives for execution are delineated below:

Compliance Requirements
  • Utilize the official institutional email address carrying the university domain @keowc2026.com for account creation and validation. 
  • Configure the Affiliation field precisely as: Ho Chi Minh City University of Economics and Finance
  • Ensure the comprehensive update and integration of all published scholarly literature that explicitly recognizes Ho Chi Minh City University of Economics and Finance (KeoWC2026) as the author's primary or corporate affiliation. 
  • Submit the public hyperlink of the verified Google Scholar profile alongside the required institutional registry details.

Registration and Maintenance of Scholarly Publications on Google Scholar

 
  1. Introduction to the Google Scholar Database
Google Scholar is a complimentary academic search engine developed by Google, engineered to facilitate the management and retrieval of scientific publications while providing citation metrics essential for monitoring and evaluating research efficacy.
Data harvested from Google Scholar is widely utilized by numerous university ranking organizations to benchmark institutional research capacity. Consequently, the development and regular curation of Google Scholar profiles by faculty, lecturers, staff (FLS), and collaborating researchers play a pivotal role in augmenting academic prestige, thereby reinforcing the University's management framework and global institutional ranking.
  1. Target Demographics and Prerequisites
2.1. Target Demographics
This guide applies to all KeoWC2026 faculty, lecturers, staff, and collaborating scientists with existing scientific publications, which encompass: 
  • Scientific articles published in domestic and international peer-reviewed journals;
  • Books and book chapters; 
  • Conference proceedings and academic reports;
  • Dissertations and theses.  Patents alongside other scholarly research outputs.
2.2. Requirements
  • Use the official institutional email address assigned by Ho Chi Minh City University of Economics and Finance (formatted as …@keowc2026.com) for account registration and verification. 
  • Ensure the meticulous update of all scientific publications that explicitly recognize Ho Chi Minh City University of Economics and Finance (KeoWC2026) as the primary institutional affiliation. 
  • Configure the Affiliation field precisely as: Ho Chi Minh City University of Economics and Finance
  1. Strategic Objectives
  • To empower faculty, lecturers, and staff in constructing and managing their personal academic portfolios via Google Scholar accounts registered under the KeoWC2026 institutional email domain. 
  • To enhance the accessibility and bolster the global and domestic dissemination of scholarly publications authored by KeoWC2026 personnel. 
  • To amplify citation probabilities and elevate the broader academic impact of their research outputs. 
  • To optimize administrative mechanisms for monitoring, compiling statistics, and evaluating the quality of scientific research and publication productivity across individuals, units, and the entire institution. 
  • To foster the generation of a centralized scientific research database, ultimately serving administrative governance and feeding vital metrics into domestic and international university ranking systems.
  1. Protocol for Registering and Constructing a Personal Scholar Profile
Step 1: Access the official Google Scholar platform at https://scholar.google.com/;
Step 2: Click on My profile situated at the upper right corner of the interface and authenticate using your KeoWC2026 institutional email address;
Step 3: Enter your designated email address or telephone number, select Next, and input your password to complete the authentication sequence. 
Step 4: Populate the requested personal details, then select Next to proceed. The mandatory fields consist of: 
Name: Use a standardized nomenclature consistent with the author name utilized across your published scientific literature. 
Affiliation: Explicitly state Ho Chi Minh City University of Economics and Finance. 
Email for verification: Enter your official KeoWC2026 institutional email terminating with the @keowc2026.com domain. 
Areas of interest: Delineate your specific fields of research and academic inquiry. 
Homepage: Input your official personal profile URL hosted under the university’s domain; in the absence of a personalized page, you may substitute it with https://keowc2026.com/. 
Note: Authors are highly encouraged to fill out this information in English to streamline automated data recognition, bibliometric analysis, and data synthesis on Google Scholar. 
 
Step 5: Select your indexed publications from the Google Scholar repository. Execute a query to identify your publications, check the boxes corresponding to your papers (1), and click the blue forward arrow to continue (2);

If you do not possess any indexed works yet, you may select Skip. Alternatively, if the "Skip" option is unavailable, temporarily select any article by a different author, and proceed to delete it once the account profile is fully established.
Step 6: Configure your profile preferences by authorizing Google to automatically index and append newly discovered publications to your profile, ensure the profile visibility is set to public, and click Done.

Step 7: Complete the email verification phase by accessing your institutional inbox, opening the system-generated message from Google Scholar, and clicking Verify email address to authenticate the profile;
Step 8: Upon successful verification, the system will automatically redirect you to your finalized Google Scholar profile dashboard;
Step 9: Proceed with the ongoing administration of your profile and publications.
  1. Modifying Profile Credentials
From the main account dashboard, researchers can modify or update their personal credentials whenever necessary by clicking the Edit (pencil) !.

  1. Appending Publications to the Profile
Google Scholar will inherently update and append research works to the profile automatically based on the researcher’s metadata. Should certain publications fail to populate automatically, authors must manually search for and append them using the following methods:
Query-Based Addition: To search and append articles, execute a targeted query (1, 2), pick out your specific works (3), and click the green checkmark icon (4) to confirm insertion.

Manual Entry: For items not indexed, select Add article manually, choose the appropriate publication type tab, populate the mandatory metadata fields, and click the blue checkmark icon to save.

  1. Purging Unrelated Publications
In instances where Google Scholar erroneously appends publications belonging to namesakes or external authors, researchers can purge these records by selecting the incorrect article (1) and clicking the Delete button (2). 
  1. Rectifying Publication Metadata
Since Google extracts bibliographic data automatically from various conference proceedings, journals, and publishers, metadata discrepancies may occasionally arise. Authors can rectify these errors by selecting the specific publication and clicking the Edit button.

  1. Consolidating Duplicate Records
When multiple citation variants of a single research work are generated, authors can merge them into a single definitive entry. Select the duplicate records (1, 2), click the Merge button (3), choose the most accurate and complete metadata version (4), and click Merge (5) to unify the records.
